How to keep client records straight as a freelancer

When several small jobs overlap, the work itself is rarely the hard part. Remembering who agreed to what, for how much, and by when is what causes trouble.

I keep one simple record for each client and each job. It does not need special software. A folder, a notebook, or a plain document works, as long as every job gets the same treatment.

Here is what I record for each job:

  • The client’s name and the best way to reach them
  • What was agreed, in plain words: the task, the deliverable, and the deadline
  • The price, and whether it is fixed or hourly
  • The date work started and the date it was delivered
  • Any changes agreed along the way, with the date
  • When the invoice was sent and when it was paid

I also keep the original messages about the job in the same place, or note where they are. When a client asks, “Did we agree to include this?” I can check the record instead of relying on memory.

A few habits make the system work:

  1. Write the record down when the job is agreed, not later.
  2. Update it when something changes, even a small change.
  3. File the invoice and the payment in the same place as the job record.
  4. Once a week, spend ten minutes checking which jobs are open, which invoices are unpaid, and what is due next.

That weekly check is the part that saves the most time. It shows at a glance what needs attention, and it stops small jobs from slipping through the cracks.

The point is not perfect paperwork. It is having one place to look when a question comes up, so you can answer from your notes instead of guessing.
